European Schoolnet is responsible (as the "data controller") for processing your personal data as explained in this Privacy Notice.

  1. 1. When do we collect and process your personal data?

You directly provide European Schoolnet with most of the data we collect through this website. We collect personal data when you:

- visit this website,

- sign up for our Teachers' and Policy newsletters,

- voluntarily participate in surveys and questionnaires which are conducted through this website from time to time,

- register for courses and events which are organized by European Schoolnet and/or its private spaces/projects and which may be promoted from time to time on this website,

- apply for jobs via email in response to the job postings on this website,

- contact us directly via EUN's social media accounts, email or by phone.

 

  1. 2. What personal data do we collect and why?

When you use this website, subscribe to EUN's Teachers' and/or Policy newsletter, register for the events/courses/conferences/webinars which are promoted from time to time on this website, participate in surveys/questionnaires conducted through this website from time to time, apply for one of our vacancies via email in response to the job postings on this website or communicate with us via phone, e-mail, or any other digital communication channel, we will collect and use your personal data to:

  • Allow for the communication between you and us
  • Improve the website's content and the overall user experience
  • Detect security incidents, protect against malicious activity, and fix system errors
  • Disseminate Teachers' and/or Policy newsletters
  • Assist you in the registration for events/webinars/conferences/courses
  • Enable us to use the responses you have provided to the surveys and questionnaires
  • Assess your job application

To achieve the above-mentioned purposes, we process the following personal data in the following circumstances:

a. Website visits: As a general policy, you are not required to disclose your personal data as a condition of using this website. No basic identity information, such as your name, address, or email address is automatically collected from your visit to the website, however, personal data such as your IP address are collected by the webserver in access logs in order to allow us to intercept and block requests coming from suspicious network segments as detailed in point (g) below.

b. Subscription to EUN's newsletters: When you sign up for our EUN Teachers' and/or Policy newsletters, the website requires subscribing users to submit the following personal information as part of the registration process: First name, Last name, Email address.

You will also be asked to consent to this Privacy Notice. You will always have the opportunity to unsubscribe from the Teachers' and/or Policy newsletter by clicking the unsubscribe link in the footer of any email you receive from us , or by contacting us at privacy@eun.org . If you no longer receive any newsletters from us, we delete your data.

We use MailerLite, a third-party service provider (as the ‘'data processor'') to disseminate our Teachers' and Policy newsletters and to manage the subscribers lists of EUN Teachers' and Policy newsletters . The processing of your personal data for the purposes of sending out these newsletters will be subject to this Privacy Notice as well as to the terms and conditions, including the Data Processing Addendum of MailerLite, which can be accessed here: https://www.mailerlite.com/legal/privacy-policy

c. Contacting European Schoolnet: We also collect personal data such as your name, email address, postal address, phone number, professional title, organization name, and any other personal data you choose to share when you communicate with us via email, EUN's social media accounts, or phone. If you choose to contact us directly, we will only use the personal data you have provided to us, for the purposes of responding to your message or managing your requests.

d. Application via email for one of our vacancies: When you apply for employment with us via email in response to the job postings on this website, we will collect and use your basic identity information such as name, e-mail address, postal address and phone number; information you have included in your resume and cover letter; information you have made publicly available on social media and any other personal data you have chosen to include in your application. We will use your personal data for the purpose of processing your application.

e. Participation in surveys/questionnaires: When you visit our website, you may want to participate through the website in surveys and questionnaires which we may launch from time to time. The types of personal data (for example, name, surname, e-mail address, photographs, etc.) we will collect from surveys/questionnaires conducted through the website in which you may voluntarily participate are described in their respective privacy statements. These privacy statements will also describe the purpose of the processing, who will have access to the data and the period of time for which the data will be kept as part of data processing activities performed during the course of each survey/questionnaire.

We use Survey Monkey, a third party  service provider(as the ‘'data processor''), to process some of our surveys and questionnaires and this processing is additionally subject to its own privacy statement, which can be accessed here: https://www.surveymonkey.com/mp/legal/privacy-policy/

f. Registration for events/conferences/courses/webinars:  The website may advertise various courses, conferences, webinars, and events which are organized by European Schoolnet and/or its private spaces/projects/partner organizations and may indicate where you can register for these. These events, conferences, webinars and courses, will have their own privacy statement detailed in the registration form for the course, webinar, conference and/or event concerned. The privacy statement will give you details of the type of personal data we will collect from you (for example name, email, images, voice recordings), the purpose of the processing, who will have access to the data and the period of time for which the data will be kept.

The privacy statements for surveys/questionnaires as well as for courses/webinars/conferences/events as mentioned in point (e) above will also detail your data protection rights in respect of the data we collect, where you can get further information on the privacy statements and the official organisations to which you can complain in the event that you feel that your data rights have been infringed.

g. Other forms of collection/ Information collected by automated means: When you visit this website, we collect information about your activity on this website in order to improve the website. We use Google Analytics for this (see Section 8 below).

We also use the personal data contained in the first party cookies for a proper functioning of the Liferay platform for the website user (See Section 9 of this Privacy Notice). This data is accessible only to the systems administrators of European Schoolnet who may check the IP addresses linked to a request in order to detect security incidents, to protect against malicious activity and to fix system errors.

Some parts of this website use the video services of YouTube.  YouTube may use cookies to collect usage and user-related information about your visit to this website. No personal data is automatically transmitted to YouTube when you visit this website.

  1. 3. The legal basis of data processing

In terms of personal data processing activities for the purpose of facilitating communication between you and us, we rely on our legitimate interest to be able to respond to requests, questions, or remarks when you contact us via social media, phone, or e-mail.

In terms of personal data processing activities for the purpose of improving the website's content and the overall experience, we rely on our own legitimate interest in providing an interesting online space to our visitors.

In terms of personal data processing activities for the purposes of detecting and preventing malware, illegal content, and other types of misuse, we rely on our legitimate interest to keep our online presence safe.

When you apply for one of our vacancies posted on this website, we rely on the necessity of processing your personal data in order to engage into a potential contract with you.

When you subscribe to EUN Teachers' and/or Policy newsletters, participate in any of the surveys/questionnaires conducted through this website or register for any event/course/webinar/conference promoted on this website, your consent serves as the legal basis for our processing of your personal data.

If you consent to us processing your personal information, please note that you may withdraw this consent at any time. If you have problems withdrawing your earlier given consent, you can contact us as indicated in the Section 13 below.

Please note that your consent can only be withdrawn with future effect and such a withdrawal does not have any influence on the lawfulness of past processing. In some cases, we may be entitled despite your withdrawal to continue to process your personal information on a different legal basis—to perform a contract, for example.

  1. 4. How long do we store your personal data?

Your personal data are only processed for as long as needed to achieve the purposes which are described above or, when we asked for your consent, up until such time where you withdraw your consent. As a general rule, we will de-identify your personal data when they are no longer necessary for the purposes outlined above or when the retention period as explained in this section has expired.

All personal data we collect through our interactions with you via the website, EUN's social media accounts, phone, and email will be kept for as long as required to communicate with you, but also to keep an historical archive of our communications.

All personal data we collect to send you EUN's Teachers' and/or Policy newsletters will be kept for as long as you remain subscribed to our newsletter subscribers lists, i.e., up until such time where you withdraw your consent.

All personal data we process in the context of your application with us will be retained for the duration of the application process if we come to an agreement with you, for the whole duration of your contract with us and until 10 years after such contract has terminated. If we do not come to an agreement with you, but we have invited you for an interview, we will keep your personal data for 5 years after the assessment process has been finalized.

The retention periods for certain types of personal data collected by automated means are specified in Section 9 under "Table 1-Cookies."

Beyond these periods, your data won't be retained except in an anonymised form.

  1. 5. Who do we share your personal data with?

Access to the full personal data is strictly limited to European Schoolnet designated staff. We do not sell your personal data to third parties. Apart from the third-party service providers covered by this Privacy Notice, no third parties will receive your data, unless this is explicitly disclosed to you in advance in a separate privacy policy or unless we are required to do so by law, e.g., in the framework of a judicial enquiry or at the request of the competent legal authorities.

The third-party service providers (i.e., MailerLite and SurveyMonkey) process your personal data only on behalf of the European Schoolnet. When we use a third-party service provider, we only disclose to them any personal data that is necessary for them to provide their services. We do not allow our third-party service providers to use your personal data for their own purposes and only permit them to process your personal data for specified purposes.

  1. 6. Data transfers

Your personal data may be transferred to and stored at a destination outside the European Union (‘'EU'')/European Economic Area (‘'EEA'') in which our third-party service providers specified in this Privacy Notice are located or have servers. We ensure that the recipient of your personal data offers an adequate level of protection, by engaging into data processing agreements with our third-party service providers, which provide for standard contractual clauses for the transfer of data as approved by the European Commission.

Your personal data may also be accessible to parties outside the EU/EEA via EUN's social media pages, links to which are embedded in this website. An exception might also be where you are located outside the EU/ EEA, and we need to follow-up with you regarding your submission. Apart from the above-mentioned circumstances, your personal data are not sent outside the EU/EEA by us.

European Schoolnet would like to make sure you are fully aware of all your data protection rights. Every website user is entitled to the following:

The right to access – You have the right to request European Schoolnet for copies of your personal data.

The right to rectification – You have the right to request that European Schoolnet correct any information you believe is inaccurate. You also have the right to request European Schoolnet to complete the information you believe is incomplete.

The right to erasure – You have the right to request that European Schoolnet erase your personal data, under certain conditions.

The right to restrict processing – You have the right to request that European Schoolnet restrict the processing of your personal data, under certain conditions.

The right to object to processing – You have the right to object to European Schoolnet's processing of your personal data, under certain conditions.

The right to data portability – You have the right to request that European Schoolnet transfer the data that we have collected to another organization, or directly to you, under certain conditions.

Whenever we process your personal data based on your consent, you also have the right to withdraw your consent at any time.

If you would like to exercise any of these rights, we ask that you send us an e-mail at privacy@eun.org. Your request should be dated and signed and should clearly state and specify which right you wish to exercise. We will notify you as soon as reasonably possible and at the latest thirty (30) days after having received the request. Please note that whenever you wish to exercise a right, we may ask you to provide proof of identity.

Google Analytics is a web analytics tool that uses cookies to track visitor interactions, helping website owners understand how visitors engage with their website. We have put in place appropriate technical and security measures to protect the premises,systems, applications and databases where your personal data is stored against accidental lost, alteration, disclosure or use or access in an unauthorised way. We process only the personal data required for achieving the purposes we have communicated to you, and we restrict access to your personal data to European Schoolnet designated staff and specified third parties with a business need to know.

We have also put in place procedures to deal with any suspected personal data breach and will notify you and any applicable regulator of a breach where we are legally required to do so.

European Schoolnet website contains links to other websites. This Privacy Notice applies only to this website, so if you click on a link to another website, you should read their privacy policy.

This Privacy Notice does not apply to European Schoolnet private projects/spaces, including European Schoolnet Academy, Future Classroom Lab, Stem Alliance, and eSafety Label as well as current and past projects carried out by the European Schoolnet whose links are shared on our website and which have their own privacy statements.

European Schoolnet website includes links to third-party websites, including our Twitter, Facebook, YouTube and LinkedIn social media pages as well as the websites of European Schoolnet's Ministry of Education Members, among others. Clicking on those links may allow third parties to collect or share personal data about you. We do not control these third-party websites and are not responsible for their use of your personal data. We recommend that you read any privacy notices on their websites carefully.
